Accounting firm automation for CPAs and bookkeepers
Accounting firm automation that takes document chasing, data entry and payment reminders off your team's desk. We build on the software your practice already runs, so busy season feels a lot lighter.

Where time goes
The jobs that eat your week
Chasing clients for slips and receipts
Every spring you send the same email asking for T4s, RRSP receipts and rental expenses, then send it again. Some files are still not complete in the last week before the deadline.
Typing numbers from PDFs
Bank statements, bills and receipts arrive as scans and phone photos. Junior staff spend hours keying them in when they could be reviewing and advising.
Your own invoices get paid late
You track other people's money all day, but your own receivables slip during busy season. Reminder emails feel awkward, so they often do not get sent.
What we automate
The automations that pay off first
Automatic document requests and inbox sorting
Each client gets a checklist of what you still need, with reminders until it is uploaded. Incoming emails are sorted by client and tagged, so files are not buried in one person's inbox.
Inbox triage →Pull data from receipts and statements
Uploaded receipts and bills are read, sorted by client and category, and sent to QuickBooks Online, Xero or a review sheet. Your staff check the entries instead of typing them.
Document to data →Polite reminders on your own invoices
When a client invoice passes its due date, the client gets a friendly reminder with a payment link, then a firmer one a week later. You only step in for the accounts that still need a personal call.
Invoice chasing →Every tax season call answered
From February to April the phone never stops. An AI receptionist answers deadline and drop off questions, books consults into your calendar and texts you a summary, so your team stays on the returns.

Accounting firm automation during tax season: an example
Before
This is an example, not a real firm. It is mid April at a four person practice in Milton. You have 60 personal returns waiting on documents. A bookkeeping client just sent a shoebox of receipts as phone photos, and nobody has followed up on your own February invoices.
After
With automation, each waiting client got a checklist in March and steady reminders since, so fewer files are stuck. The receipt photos were read and sorted overnight, ready for review. Asana's Anatomy of Work research found knowledge workers spend about 60% of their time on work about work, and this is the part automation goes after.

FAQ
Questions owners ask us
Does it work with TaxCycle, CaseWare or Karbon?
Cloud tools like Karbon, TaxDome, QuickBooks Online and Xero usually connect well. Desktop programs like TaxCycle and CaseWare are harder to reach directly, so we often work around them through folders, exports or email. We sort out what fits your firm in the audit.
How can we try accounting firm automation without a big commitment?
Book a free 30 minute automation audit while this limited time offer lasts. We pick the task that wastes the most hours, build an automation for it and run it free for 30 days. If your team wants to keep it, we agree on a fixed price in writing first.
How do you handle client privacy?
We connect only to the folders and apps each automation needs, and nothing is copied to places you do not control. Sensitive files stay in your portal or document system. You can remove access at any time.
Will this replace Hubdoc or Dext?
Not necessarily. If you already use one, we build around it. We handle the steps it does not cover, like chasing missing items or moving data into a report. If you use neither, we can talk about what fits.
Is it worth it outside of tax season?
Usually, yes. Bookkeeping, payroll and year end work repeat every month or quarter, and repeat tasks are where automation helps most. Starting before busy season also gives you time to test everything.
