The problem
Chasing payments is work nobody wants
The job is done and the invoice is out, but the money isn't in. Now you need to remember who owes what, write a polite email, and do it again two weeks later. It feels uncomfortable, so it gets pushed off. Say you have 15 open invoices; that is 15 notes to write and track every couple of weeks.
Late payments squeeze your cash flow. You may be paying suppliers and staff before your own customers pay you. Every hour spent digging through your accounting software and writing reminders is an hour away from paid work.
What changes for you
- Every unpaid invoice gets a reminder, even in your busiest weeks
- Customers get a payment link in every message
- You stop keeping a mental list of who owes you
- Fewer awkward phone calls about money
- A clear weekly view of what is still outstanding
How it works
How invoice chasing runs, step by step
The automation watches your invoices
It checks your accounting software each day for invoices that are coming due or past due. It also notices partial payments, so the next note shows the right amount.
Automated invoice reminders go out
A friendly note goes out a few days before the due date, then on the due date, then after. Each one shows the amount and a link to pay.
The tone changes over time
Early reminders are light and helpful. Later ones are firmer, and you approve the wording for each stage ahead of time.
Stubborn ones come to you
When a payment is still missing after the last reminder, you get a short list of who to call. Once a bill is paid, its reminders stop on their own.

FAQ
Questions about invoice chasing
How soon can automated invoice reminders be running?
If you use QuickBooks Online, Xero, or FreshBooks, a first version is often ready in a week or less. We start with a free 30 minute automation audit to look at how you bill. The first automation runs free for 30 days, and you only agree to a fixed price, in writing, if you keep it.
Doesn't my accounting software already send reminders?
Some do, but the built in ones are often basic. They may send the same message every time, or only by email. We can add texts, change the tone by stage, skip certain clients, and send you a list of who needs a call. You still see every message before the first one goes out.
Will customers feel like a robot or a bill collector is after them?
Not at all. You choose the wording, and early messages read like a helpful heads up from your office. We write them to sound like you. You can also turn reminders off for any client you would rather call yourself.
What if a customer replies that they already paid?
The automation does not argue or guess. It pauses reminders for that invoice and sends you the reply, so you can check your bank and sort it out. Nobody gets another reminder about a bill they say is paid while you look into it.
Is this safe for my financial data?
The automation only reads what it needs, like the invoice number, amount, due date, and contact. You can remove its access to your accounting software at any time. We set reminders up with CASL, Canada's anti spam law, in mind, and we keep bank details out of every message.
