Online Booking and Automated Appointment Reminders
Customers book a time that suits them, and automated appointment reminders help them remember it. You spend less time on the phone and more time with the people who show up.

The problem
No shows and phone tag eat your day
Booking by phone takes a lot of back and forth. You offer Tuesday, they ask about Thursday, and someone has to call back. Then the day comes, and the chair is empty or your tech drives to a house where nobody is home.
A missed appointment is time you can't sell twice. Calling every client the day before helps, but it takes an hour your front desk doesn't have. And many of those reminder calls end up in voicemail anyway. Meanwhile, the clients who wanted that slot were told you were full.
What changes for you
- Fewer calls just to find a time that works
- Clients confirm with one tap instead of a phone call
- Cancellations come in early enough to fill the spot
- Your calendar and booking app always match
- Your front desk stops spending mornings on reminder calls
How it works
How booking & reminders runs, step by step
The client picks a time
They choose a slot from a booking link on your website, in a text, or in an email. Only the times you really have open show up.
The booking is confirmed
The client gets a confirmation right away with the date, time, and address. The visit lands on your calendar and in your booking software.
Automated appointment reminders go out
A reminder goes out a day or two before, and again a few hours before. Each one has a simple way to confirm, cancel, or pick a new time.
Gaps get filled
If someone cancels, the open slot goes back on your calendar. If you keep a waitlist, the next person can get a text offering the spot.

Dental & clinics
Hygiene recalls and physio visits run on tight schedules, and reminders that let patients confirm or move a visit help keep chairs and rooms full.

FAQ
Questions about booking & reminders
Can automated appointment reminders work with the booking software I already use?
Usually, yes. Many booking tools, like Calendly, Jane App, and Square Appointments, can share new bookings with other apps. If yours already sends its own reminders, we work around them so clients don't get two of every message. We look at what you have before adding anything new.
Will the reminders sound robotic or spammy?
Not if they are short and useful. Each reminder has the date, time, place, and one clear action, written in your own words. We set them up with CASL, Canada's anti spam law, in mind, and clients can stop messages at any time. We also keep it to two per visit, so nobody feels chased.
What about patient privacy?
For clinics in Ontario, we set reminders up with PHIPA in mind. Texts only say the time and place, never the reason for the visit or any health details. The automation only pulls the few details a reminder needs from your clinic software.
What happens if a client replies with a question?
Simple replies like 'yes' or 'can we move it' are handled for you. Anything else, like a question about parking or insurance, goes to your front desk with the full message. The automation never answers when it is unsure. Your staff see the whole thread, so they never ask the client to repeat themselves.
How long until reminders start going out?
Once we know your booking tool and when you want messages sent, a basic version can be ready in about a week. We begin with a free 30 minute automation audit to map it out. Your first automation runs free for 30 days, and a fixed price is only agreed in writing if you decide to keep it.
