Law firm automation for intake, consults and documents
Law firm automation helps small practices answer new inquiries quickly, book consultations and collect client documents. We build it around the tools your firm already trusts, with confidentiality in mind from day one.

Where time goes
The jobs that eat your week
Inquiries arrive while you are in court
A potential client fills out your contact form while you are at a hearing or working on a closing. By the time you call back the next day, they may have retained the firm that answered first.
Booking consults eats your clerk's day
Your law clerk sends three emails to book one consultation, then a reminder, then a conflict check form. That time adds up across every new matter.
Waiting on documents from clients
Family, estates and real estate files stall while you wait for ID, financial statements or a signed retainer. Someone has to keep asking politely, and that time is rarely billable.
What we automate
The automations that pay off first
Answer every intake form within minutes
A person asking about a separation or a firing gets a reply right away. It includes a short intake form and a link to book a consult. Harvard Business Review reported that the average reply time to a web lead is 42 hours. A quick and careful answer helps your firm stand out.
Instant lead reply →Consult booking with reminders built in
Prospects pick an open time from your calendar and get email reminders to help them show up. Your conflict check questions can be part of the booking step, so the names you need are ready before the call.
Booking & reminders →Collect and sort client documents
Clients upload ID and statements through a secure form instead of sending email attachments. The automation renames each file, saves it to the right matter folder and fills in the basic details. Your clerk checks the work instead of typing it.
Document to data →Sort the firm's shared inbox
Messages to your general address are sorted into new inquiries, current clients and vendors, with a draft reply ready for review. Nothing goes to a client without a person reading it first, unless you choose otherwise.

Example of law firm automation in a small practice
Before
Here is an example, not a real firm. You run a three lawyer practice in Mississauga. On Tuesday you are in court until 3 p.m., and four new inquiries come in through the website. Your clerk is busy chasing one client for a signed retainer and a missing bank statement.
After
With automation, each inquiry got a reply and an intake form within minutes, and two people have already booked consults for Thursday. The client with the missing statement got an automatic reminder with a secure upload link. When you get back to the office, your clerk is reviewing files instead of writing the same email for the fifth time.

Who builds it
"I built automation for teams at Shopify and AtkinsRéalis, where a broken process costs real money. Now I build the same kind of systems for businesses that don't have an engineering team."

FAQ
Questions owners ask us
Does it work with Clio or PCLaw?
Clio is cloud based and lets other tools connect to it, so it is often a good fit. PCLaw is usually installed on an office computer, so we may work from exports, email or your document folders instead. We confirm what is possible for your setup before building anything.
How do we start with law firm automation?
Start with a free 30 minute automation audit, where we map how a new inquiry becomes a client at your firm. This is a limited time offer. We then build one automation and run it free for 30 days. If it saves you time, we agree on a fixed price in writing.
How do you protect client confidentiality?
Each automation gets access only to the folders and apps it needs. Sensitive details stay in your practice management system, and messages to clients are kept general. You can review every step and remove access whenever you want.
Can the automation answer legal questions for clients?
No. It can share your hours, your consult fee if you publish one and what to bring to the meeting. Anything about a person's actual situation goes to a lawyer or clerk.
Which practice areas is this best for?
Firms with a steady flow of new inquiries tend to benefit most, such as family, real estate, wills and estates, immigration and employment law. Smaller firms without a full time intake person are often a good fit too.
